Implant and Crown Melbourne (“we”, “us”) operates this website and coordinates dental implant and crown enquiries with a network of participating dental clinics across Greater Melbourne. This policy explains what personal information we collect through this website, why we collect it, who we share it with, and how you can access or correct it.
We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
What we collect
We only collect personal information that you choose to give us. We do not require you to create an account, and we do not sell personal information to anyone.
Suitability enquiries
When you submit the enquiry form, we collect your first and last name, email address, phone number, the message you write, and your consent to this policy.
Quote reviews
When you submit a quote for review, we collect the same contact details, plus any documents or images you upload. A dental quote usually describes proposed treatment, so this information can include health information about you. Health information is “sensitive information” under the Privacy Act and attracts additional protection. We collect it only with your consent — which is what the consent checkbox on the form records — and only to carry out the review you have asked for.
Technical information
When you submit a form we also record your IP address and browser user-agent string. This is kept for security purposes: identifying spam, abuse and fraudulent submissions.
Why we collect it
- To respond to your enquiry and answer your questions.
- To assess, in general terms, whether our treatment packages may be suitable for you, and to arrange an appointment with a participating clinic.
- To compare the procedures, materials, inclusions and fees in a quote you send us.
- To keep records of enquiries we have received and how we responded.
- To protect the website against spam and abuse.
Any assessment made from a website enquiry is preliminary. Suitability, clinical risks, alternatives and final fees can only be confirmed by a dentist after an in-person examination and appropriate imaging.
Who we share it with
Participating clinics
To arrange your appointment or review your quote, we share your enquiry with a participating dental clinic in our network. Once you become a patient of that clinic, the clinic handles your clinical records as an independent healthcare provider under its own privacy policy and its obligations as a registered health practice. We will tell you which clinic and which treating dentist before your appointment.
Service providers
- Email delivery. Enquiry notifications are sent using Postmark, an email delivery service. This means the contents of your enquiry, including any documents you attach, pass through Postmark’s servers, which are located in the United States.
- Email hosting. Our enquiry mailbox is hosted on Google Workspace.
- Website hosting. Submissions and uploaded files are stored on our website’s hosting infrastructure.
- Web fonts. This site loads typefaces from Google Fonts. Your browser makes a request to Google’s servers to fetch them, which discloses your IP address to Google.
Overseas disclosure
As noted above, some of these providers store or process data outside Australia, primarily in the United States. By submitting a form you consent to that disclosure. We take reasonable steps to use reputable providers, but we cannot guarantee that an overseas recipient will handle information in a way that complies with the Australian Privacy Principles in every respect.
Other disclosures
We may disclose personal information where we are required or authorised to do so by law.
How we protect it
- The website is served over an encrypted HTTPS connection.
- Files you upload are stored outside the publicly accessible part of the website. They cannot be reached by guessing a web address, and are served only to signed-in administrators.
- Access to submissions in the website administration area is restricted to authorised people.
- The site runs a security firewall and malware scanner.
No method of transmission or storage is completely secure. If you would prefer not to send clinical documents over the internet, please call us instead and we will arrange another method.
How long we keep it
We keep website enquiries and uploaded documents for as long as needed to deal with your enquiry and to maintain reasonable business records, and then delete them. If you ask us to delete your enquiry sooner, we will do so unless we are required to keep it by law. Note that once a participating clinic has created a clinical record for you, that clinic must retain it for the period required of health service providers, and your request to us does not affect those records.
Cookies
This site does not use advertising, analytics or tracking cookies, and does not run third-party tracking pixels. WordPress and our page-caching system may set functional cookies necessary for the site to operate — for example, to keep an administrator signed in.
Accessing and correcting your information
You can ask us for a copy of the personal information we hold about you, ask us to correct it if it is wrong, or ask us to delete it. Contact us using the details below. We will respond within a reasonable period, and we may need to verify your identity first. There is no charge to make a request.
Complaints
If you believe we have mishandled your personal information, please contact us first so we can try to resolve it. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au, by phone on 1300 363 992.
Concerns about the clinical care provided at a participating clinic can be raised with that clinic directly, with the Australian Health Practitioner Regulation Agency (AHPRA), or with the Health Complaints Commissioner in Victoria.

We may update this policy from time to time. The current version is always available on this page, and the date at the top shows when it was last changed.
